RECRUITMENT STAGES WILL COMMENCE IN JANUARY 2026
The Program Schedule Administrator (PSA) plays a critical, hands-on role in coordinating and processing community service requests for IRSSS program teams. Reporting to the Director of Programs, the PSA manages incoming requests, oversees accurate scheduling, and supports timely communication to ensure smooth delivery of events, presentations, and services across the organization. This position requires exceptional organizational skills, strong attention to detail, and the ability to work independently while liaising effectively with multiple internal teams and external requestors. This is a remote role with periodic travel to the employee’s residing office (Kamloops, Prince George, Hope, or Vancouver).
REQUIRED KNOWLEDGE, SKILLS & ATTRIBUTES
- Organizational Skills and Attention to Detail: Meticulous organization is fundamental for managing multiple calendars, resources, and deadlines without conflicts.
- Communication: Excellent verbal and written communication skills are necessary to coordinate with diverse teams, stakeholders, and clients, ensuring everyone is informed of updates and changes.
- Problem-Solving and Decision-Making: Must be able to anticipate potential conflicts and quickly resolve issues and unexpected delays (e.g., staff sickness, resource shortages) in a calm and efficient manner.
- Time Management & Prioritization: The ability to prioritize tasks, manage a personal workload, and help others meet deadlines is crucial for success.
- Adaptability and Flexibility: The job often involves unexpected changes, requiring a flexible approach and the ability to adjust schedules quickly as priorities shift.
- Customer Service: Act as a primary point of contact, requiring a patient, professional, and positive demeanor, especially when handling client inquiries or complaints.
- Analytical Skills: Depending on the role, analyzing data to forecast demand, evaluate project effectiveness, and optimize processes can be a key requirement.
- Reliability and Dependability: Teams rely heavily on the scheduler's accuracy and consistency to ensure smooth operations.
- A Calm Demeanor: The ability to remain composed and highly effective under pressure during urgent situations.
- Proactive Thinking: Foresee potential issues and plan for contingencies, rather than just reacting to problems as they arise.
REQUIRED KNOWLEDGE
- Software Proficiency: Must be fully technically literate and proficient in relevant software.
- This includes: Microsoft Office Suite (especially Excel for data management and reporting).
EDUCATION & EXPERIENCE
- Minimum post-secondary diploma in business, accounting or administration.
- Minimum two (2) years of experience in an administrative or data-processing position or work experience with transferable skills and experience in data entry, planning, scheduling.
- Must have strong organizational and time management skills.
- Must have excellent communication skills to communicate professionally with external requestor personnel and internal staff.
- Must be highly proficiency in scheduling tools on Outlook and Excel spreadsheets.
- Must be highly flexible, adaptable, resilient and resourceful
- Ability to manage multiple service requests continuously.
- Prioritize effectively and sufficiently.
- Ability to work highly effectively independently or as a collaborative team member and take initiative.
- Other duties as requested are related to the position’s role and responsibilities

What We Offer- Salary: Starting at $63-73K (will be based on education and experience)
