Administrative Support Personnel Team - Flex Support - 2 to 3 positions

Position Summary
The Administration Assistant team, reporting directly to the Office Manager, will provide essential administrative and clerical services the Administration Office Manager/Executive Team (possibly the Human Resources Manager) to support the operations of the Indian Residential School Survivors Society (IRSSS). This role ensures smooth day-to-day operations by managing documentation, communications, filing management, coordinating events, and assisting with program logistics.
Key Responsibilities
- Serve as the first point of contact for the Manager/Executive; when assigned.
- Provide comprehensive administrative and clerical support, including correspondence, filing, photocopying, and faxing.
- Maintain organized filing systems for financial and general documentation.
- Respond to information requests and provide backup reception coverage when required for coverage.
- Assist with event planning and coordination, including scheduling, registration, and communication with staff.
- Arrange travel, accommodations, and event registrations when required.
- Prepare meeting packages, record and distribute meeting minutes, and track action items to ensure timely completion.
- Manage program inventory and ensure timely delivery of materials.
- Perform data entry, maintain employee databases, and distribute updated staff lists.
- Support other administrative tasks and special projects as assigned.
Qualifications
- Minimum of post secondary education in Business Administration or related field
- Must have a minimum of 3 years’ experience in working in an Indigenous service delivery organization
- Must have computer literacy, proficient level of computer skills and knowledge of Microsoft Office
- Must demonstrated experience in HRIS systems
- Must be able to work as a positive team member or independently when needed
- Must have highy proficient communication skills: written and verbal
- Conflict resolution skills and/or problem solving
- An understanding of relevant policies and procedures
- Proven experience in administrative or clerical roles.
- Strong organizational and time-management skills.
- Ability to handle sensitive information with discretion.
- Event planning or coordination experience is an asset.
Working Conditions
- Office-based with occasional travel for events or meetings.
- May require flexible hours during peak periods or special events.
The incumbent must demonstrate the following skills:
- Critical thinking and decision-making skills
- Effective verbal, listening and written communication skills
- Computer skill including the ability to operate computerized accounting, spreadsheet, word-processing and data programs at a highly proficient level
- Stress& time management skills

WHAT TO EXPECT
Term: Full-Time Position
Office Locations: Hope, Vancouver (VPL), Kamloops or Prince George – position involves some travel throughout the province of BC.
Salary Range: $50,000.00 to $60,000.00 and will be dependent on skills and experience.
Benefits: Annual Leave, Sick Leave, Wellness Days; after 90 days - Employer paid benefits plan and GIC matched savings.
Status: Hybrid position – combination of office and remote work days
